At the end of every month an accountant or office manager spends hours over an Excel sheet: checking attendance, deducting absence, adding allowances, making sure leave has not passed the balance. One wrong cell means a wrong salary and an unhappy employee. HR and payroll software turns those hours into minutes.
What the system calculates for you
- Attendance. From a fingerprint device or the employee's phone app, with lateness and early leaving.
- Leave. Annual balance, sick leave, and requests the manager approves in one tap.
- Pay. Basic salary, allowances, deductions, overtime and advances.
- Payslips. Each employee gets theirs on their phone instead of paper.
The bank wage file
Gulf countries are moving towards wage protection through banks. In the Sultanate of Oman the Ministry of Labour and the Central Bank run a Wage Protection System, and neighbouring countries have similar schemes. Deadlines and the share of the workforce covered can change over time, so check the Ministry of Labour's latest instructions and your bank. What matters is that your system prepares the salary file in the format the bank asks for instead of retyping it, and keeps a record showing what was paid and when.
Paperwork that must stay in order
Employment contracts, residence and card renewals, and certificate expiries. A good system warns you days before any document runs out, so you do not find out during an inspection.
Permissions
Not everyone who signs in should see everything: an employee sees only their own payslip, a manager sees their team, the accountant sees salaries, and the owner sees the full picture.
How to leave Excel without chaos
- Gather the current staff data into one tidy file.
- Enter the opening leave balances.
- Run the system alongside Excel for one month and compare the results.
- When they match, stop the sheets.

And accounting?
Salary is an expense that must reach the books. If payroll connects to your accounting system, you do not enter it twice. Look at the human resources system to see its modules, or build your spec in the Studio and pick only what you need.
The monthly pay cycle as it should run
| When | Step | What the system does |
|---|---|---|
| All month | Attendance, leave, advances | Records them from phone or device and routes approvals |
| Two days before close | Review exceptions | Shows absence, lateness and overtime for review |
| Close day | Calculate pay | Works out basic, allowances and deductions |
| After | Manager approval | Approval with a role separate from the accountant |
| Transfer | Bank file | Prepares it in the required format and keeps the record |
| After transfer | Payslips | Each employee receives theirs on their phone |
The most costly payroll mistakes
- Changing pay after close with no written trail: the system should block or log it.
- Outdated leave balances: the dispute appears at end of service.
- Contracts expiring unnoticed and residences renewed late.
- One salary entered twice: in the payroll file and again in accounting.
What to ask an HR software provider
Can I export the wage file in my bank's format? How is end-of-service pay calculated in the system and can the rules be edited? Are edit logs kept? Is there a daily backup?
Questions before you buy
Does it work with my fingerprint device?
Usually yes, if the device exports its data or offers an integration. Tell us the model and we will check.
Does it handle staff on different nationalities and contracts?
Yes. The rules are set up per group according to your contracts and policies.
How do I move from Excel without chaos?
Run the system alongside Excel for a month and compare results before stopping the sheets, and carry the opening leave balances across. The full steps are in the data migration guide.
